Who we are
HavenMatch is an online directory that helps individuals, families and professionals find residential care, group homes, respite care and assisted living, and helps providers be found. HavenMatch is not a care provider, placement agency or healthcare provider.
Questions about this policy can be sent through our Contact page (choose the topic “Privacy request”).
Information we collect
Information you give us
- Account details: your name, email address, password (stored only in encrypted, hashed form by our authentication provider), account type (Family or Business), and for businesses, your business or agency name.
- Sign in with Google: if you choose this, Google shares your name, email address and profile picture link with us. We don’t receive your Google password.
- Provider listings: information businesses publish about a home, such as its name, care type, location, capacity, description, services, photos and contact details.
- Messages: what you send through the Contact form or an “Ask about availability” form, including your name, email, phone number and message.
- Saved homes: the listings a family account chooses to save.
- Reports about a listing: the reason and details you give, and your email if you choose to include it.
Information collected automatically
- Technical data: like any website, our hosting provider receives your IP address, browser type, the pages you request and the time of each request. These records are used for security and to keep the site running.
- Cookies: see Cookies below. We only use cookies needed to keep you signed in.
- Listing page views: we count how many times each listing is viewed so providers can see how their listing is doing. The count isn’t linked to you.
- Distance search: if you search near a ZIP code, it’s used to sort results by distance. We don’t store it.
Sensitive information
When you search for care or contact a provider, you may choose to share information about a person’s health, disability or care needs. Please share only what’s needed for a first conversation. If you include it, you consent to us storing it and delivering it to the provider you contacted. HavenMatch is not a healthcare provider and is not a “covered entity” under HIPAA; providers handle information you share with them under their own policies and legal obligations.
How we use information
- To create and run your account, including signing you in and resetting your password.
- To publish provider listings and show them in search results.
- To deliver your availability questions to the provider you chose, and to reply to Contact form messages.
- To review listings before they appear publicly and to keep the directory accurate.
- To protect HavenMatch and its users, including preventing spam, fraud and abuse.
- To send service emails you need, such as email confirmation, password reset, a provider’s alert that you sent them a question, listing review updates and monthly reminders for providers to confirm their availability. We don’t send marketing email.
- To comply with the law and enforce our Terms of Service.
How long we keep information
- Accounts are kept until you delete them. When you delete your account, we delete your profile, saved homes and, for businesses, your listings and their photos.
- Availability questions stay in the provider’s dashboard until the listing or provider account is deleted.
- Contact form messages and listing reports are kept for up to two years so we can follow up and keep a record of requests, then deleted.
- Technical logs are kept by our hosting provider for a limited period for security and troubleshooting.
Deleted information may remain in encrypted backups for a limited period before it’s overwritten.
Your choices and rights
You can always:
- See and update your name and business name in Account settings.
- Change your password or add one if you signed up with Google.
- Delete your account in Account settings. This can’t be undone.
Depending on where you live (including California, Colorado, Connecticut, Virginia and other states with privacy laws), you may also have the right to:
- know what personal information we have about you and get a copy of it;
- correct inaccurate information;
- delete your information;
- opt out of the sale of personal information or targeted advertising (we don’t do either);
- limit the use of sensitive information (we use it only to provide the service you asked for); and
- not be treated differently for using these rights.
To make a request, use the Contact page and choose “Privacy request.” We’ll confirm your identity, usually by checking the email on your account, and respond within 45 days. You can use an authorized agent if they provide proof of your permission. If we decline your request, you can appeal by replying to our decision; we’ll respond to appeals within 60 days and, if you’re still not satisfied, tell you how to contact your state attorney general.
Security
We use reasonable safeguards to protect personal information, including encrypted connections (HTTPS), hashed passwords, sign-in cookies that scripts can’t read, and access controls that limit each account to its own data. No system is completely secure, so we can’t guarantee absolute security. If we learn of a breach affecting your information, we’ll notify you as the law requires.
Children
HavenMatch is for adults. You must be 18 or older to create an account. We don’t knowingly collect personal information from children under 13. If you believe a child has given us information, contact us and we’ll delete it.
Where information is stored
HavenMatch is operated in the United States, and our service providers may store and process information in the United States and other countries where they operate.
Changes to this policy
We may update this policy as HavenMatch changes. We’ll change the “Last updated” date above, and for significant changes we’ll give notice on the site or by email before they take effect.
